Document management the way it's meant to work

Case Study: ASSA Abloy Entrance Systems

ASSA ABLOY Entrance Systems conducts continuous product development in a global organization, which means that large amounts of technical information, drawings and product data are constantly changing. Previously, this information was managed in several different systems, divided by product branch, and was only accessible to a limited number of people. This created both inefficiency and a lack of overview.

When ASSA ABLOY Entrance Systems was faced with the need to modernize its information management and replace existing solutions, they sought a flexible and user-friendly system for managing product structures, models and drawings. They chose Advantum.

A unified platform for technical product information

With Advantum, ASSA ABLOY Entrance Systems has introduced a uniform way of working for all products. Initially, Advantum was used as a PDM-system (Product Data Management) for technical documentation, where the focus was on handling drawings, 3D models, product and article structures and other technical product information.

Over time, the installation has gradually grown – both in number of users and in functionality. Advantum has thus evolved from a pure PDM support to a central platform for product-related information management.

Advantum – a flexible DMS & eQMS

Thanks to Advantum's extensive functionality and flexibility, Advantum has today replaced several of our customers' systems for handling, among other things, cases, technical documentation and 3D models. Advantum today offers specialized industry solutions developed in collaboration with some of Sweden's leading companies.

Support for a critical change process

One of the most mission-critical processes at ASSA ABLOY Entrance Systems is the company's Change Control-process. This is where Advantum plays a central role. With its powerful workflow support, the system acts as the natural software choice for change management.

Advantum gives the organization full control and overview of a complex process where many different functions and roles are involved. All actions are logged and can be followed in detail, which creates both traceability and transparency. At the same time, the system's overview makes it possible to quickly identify bottlenecks and effectively drive the process forward if a drawing or change gets stuck somewhere in the production chain.

Global deployment with distributed development centers

ASSA ABLOY Entrance Systems uses Advantum globally at its development centers in China, the Czech Republic and the US, among others. Thanks to Advantum's support for distributed file vaults, technical documentation can be managed securely and efficiently, regardless of geographical location.

This enables a cohesive working approach across national borders, while maintaining control over versions, permissions and changes.

More efficient everyday life and strengthened quality assurance

The effects of Advantum were already evident early on after its introduction. Simplified daily routines and improved quality assurance contributed to increased efficiency in the organization. Through the system's security and authorization controls, users can always be confident that the right information is being used, and that it is clear where, when and how documents and drawings have been created or changed.

Advantum supports ASSA ABLOY Entrance Systems' established working methods, making workflows clear, traceable and easy to follow – even in a complex and global operation.
